How to Write Contractor Case Studies

A contractor case study that helps AI visibility and converts clients has five components: client context, project scope, challenge, approach, and outcome. Missing any one of these reduces the case study's value for both AI systems (which need specific facts to cite) and buyers (who need to see whether you've done their type of project before).

The five-part contractor case study structure:

1. Client context Who the client is and what they needed. No need to identify the client by name — many clients prefer not to be named publicly. 'A commercial property manager in South Edmonton with a 12-unit strata building' gives enough context for buyers to identify whether the project is similar to theirs.

2. Project scope The measurable details of what was done. Square footage, linear metres, number of units, dollar value (approximate), duration, and any specific technical requirements. 'Complete asphalt shingle replacement on a 3,800 sq ft residential property, including deck replacement in two sections and full inspection of flashing and vents' is more useful than 'full roof replacement'.

3. Challenge What made this project different from the routine. This is where expertise is demonstrated: 'The property had a low-slope section at 2:12 pitch that required modified bitumen rather than shingles — a material transition that required careful flashing design at the junction.' Challenges that required problem-solving show capability beyond basic execution.

4. Approach How you handled it. The process, the decisions made, the materials used, and why. This is the content that demonstrates technical knowledge and builds trust.

5. Outcome What the client got. Measurable where possible: 'Project completed in 4 days, under the 5-day schedule, with the client's building operational throughout. Final cost came in at the quoted amount with one documented scope addition approved by the client in writing.'

Format notes for AI visibility: use a header for each section, keep each section under 150 words, include the project location (city and neighbourhood where the client permits), and tag the case study with the relevant service type and industry category. This structure makes the content easy for AI systems to parse and extract specific facts from.
