Implementing an AI chatbot for a service business involves four phases: training the chatbot on your business knowledge, configuring the conversation flows for your specific inquiry types, integrating with your calendar for booking, and testing before go-live. A well-scoped implementation takes 1–3 weeks.

Phase 1: Knowledge base preparation (3–7 days)

The chatbot needs to know your business accurately. This means gathering: complete service descriptions, pricing ranges (or at minimum 'starting from' information if exact pricing varies), service area and geographic limits, typical timeline for each service type, licensing and insurance information, process overview (what happens after a client contacts you), and your FAQ responses — the 10–15 questions you get asked most often.

Phase 2: Conversation flow design (3–5 days)

Conversation flows define what the chatbot does in different scenarios: how it opens for different page types, how it handles FAQ questions, how it collects project information, how it handles requests outside your scope, and when and how it routes to a human. Well-designed flows are the difference between a chatbot that converts and one that frustrates.

Phase 3: Calendar and CRM integration (1–3 days)

For chatbots that book consultations, integration with Google Calendar, Calendly, or your booking system is essential. The integration is typically straightforward — most modern chatbot platforms have pre-built connectors for common calendar systems. CRM integration (HubSpot, Salesforce, or similar) routes chatbot leads directly into your pipeline.

Phase 4: Testing and refinement (3–5 days)

Test every major conversation path before go-live. Test the edge cases: what happens when a visitor asks something outside your scope? What happens when the calendar has no availability? What happens when the visitor provides information that doesn't match your service criteria? Fix these scenarios before they happen to real prospects.
